Almarix comes in two versions
The paperwork that handles itself.
Your team photographs a receipt. A supplier emails an invoice. Both are read, renamed, filed in your own cloud storage, and posted to your books — automatically. Nobody chases paper, and nobody pays a bookkeeper to type it in.
The paperwork isn't the business. But it takes the time.
A fuel receipt in a glove box. A hardware store slip in someone's wallet. A supplier invoice buried in an inbox. A subscription charge nobody kept the paperwork for. Then month-end arrives.
Somebody has to collect it all, work out what each one is, name it, file it somewhere findable, and hand it to the bookkeeper. That somebody is usually you, or an office manager you're paying to do it, or the bookkeeper themselves — at their hourly rate.
And the part that really costs: what doesn't get collected. A receipt nobody kept is an expense nobody claims, and tax you didn't have to pay. Multiply that across a year.
None of this is the business you're in. It's the admin around it, and it's more expensive than it looks.
The month-end scramble. Here's what disappears from it.
Not in theory. Specifically. Here's what Almarix handles so nobody in your company has to.
And the receipts stop going missing.
It pays for itself on the first receipt nobody loses.
From a photo at the till to a posted entry.
One receipt, from the moment someone photographs it to the moment it’s in your books.
It arrives
Your team photographs receipts from their own link. Suppliers’ invoices get forwarded from your inbox. A scan works too.
It gets sorted
Each document is named by date, vendor and type, then filed in your own Google Drive or Dropbox — by year and category.
Details are read
Vendor, date, amount and tax, lifted off the document automatically. No re‑keying.
Posted to your books
The entry lands in QuickBooks Online or Xero, with the document attached to it.
Nothing is guessed
Anything Almarix can’t read with certainty waits for you instead of guessing — with the reason on the document.

Almarix files them for you.
Receipt apps are good at what they do: they give you somewhere to put a photo. Snap it, upload it, and it sits in a pile waiting for someone to deal with it.
Then somebody still opens every document, works out what it is, renames it, files it somewhere findable, and keys it into the books. That part doesn't disappear. That's the part Almarix does: reading it, naming it, filing it in your own cloud storage by year and type, posting it to QuickBooks or Xero with the document attached, and logging it in the audit trail. Automatically, every time.
Software replacing software.
Which is why the comparison isn't a subscription against a subscription. It’s a subscription against the hours somebody on your payroll spends keying receipts.
Grow the company, not the admin.
Paperwork is the quiet tax on growth: every new job, vehicle or crew means more receipts to open, type and file, so the admin grows with the revenue. Almarix breaks that link. Add work without adding admin, and without hiring the help you'd rather not pay for.
Automation is already reshaping back-office work. The companies adopting it are absorbing more work without adding headcount. The ones still keying receipts by hand are paying for it twice — in wages, and in the time nobody gets back.

Built for the company where the receipts land on somebody who has better things to do.
I grew up in Eastern Ontario and spent over 25 years in IT, much of it inside small and mid-sized companies across the region. The same thing everywhere: a capable person on the payroll spending their week opening receipts, typing amounts into an accounting package, and hunting down the supplier invoice that never got forwarded. The tools on offer were built either for big finance departments with approval hierarchies, or for individuals tracking personal expenses. Nothing fit a company with a handful of staff, a few hundred receipts a month, and no appetite for a six-week implementation.
So we built Almarix for exactly that company — the one where the paperwork lands on somebody who has better things to do. I'm genuinely proud of what we created. Think of it as an extra pair of hands whose only job is receipts and invoices: reading them, filing them, and getting them into your books before anyone has to ask. If it can't save you real hours, I'll tell you straight.
The things you're probably wondering.
